1. Welcome and introductions
I acknowledge the Dharug people of the Eora Nation, the traditional custodians of our local area and we acknowledge their continued connection to Country. I would like to pay respect to Elders both past and present and extend that respect to all Aboriginal and Torres Strait Islander people who are present.

4. Actions arising from previous meeting

  • Reciprocal email requests: Survey closed and 46 respondents. Updated list of reciprocal libraries is now available on the Wiki here.

5. State Library of NSW report
Refurbishment of Macquarie St building closed from 12 May until later 2025. Information on refurbishment available at:https://www.sl.nsw.gov.au/about/about-library/transforming-macquarie-street-building

6. Multicultural Services report - May 2025

Accessible formats

  • 2 weeks ago sent email to NSW library managers about accessible formats
  • How NSW PL cater to community members with print disability – physical formats only – JG compiling results and send to PLN elist

Login for Libraries on SLNSW catalogue Some Libraries still having issues with loop of sign-in

  • If having issues call Joanna to go through in real time to then escalate to SLNSW technology team

Overdue notices being sent by SLNSW

  • Fixed issue of CR items being included in overdue list – every notice now will be only active loans

Community language directory

  • Glitch in numbers have now been fixed. Numbers should now be fixed

7. Trove Collaborative Services Updates
Updates on TCS Resource sharing

User Acceptance Testing (UAT)
Group is currently active but finishes 9 May. Kinks to be addressed and hopefully most current errors fixed by launch. The look and feel of the platform will be different
UAT Create a loan request

  • Requesting user – do not put name or email as they will be emailed from Trove. Only put in your ILL email address if anything
  • Required fields – requested change to wording
  • Different entries for same title – can’t add individual locations to rota as no control
  • Consider emailing library directly if you do know who has it and it is available
  • While system will skip if item is on loan it doesn’t note geographic location preference.
  • Logins: Trove Partners Search = Organisational login ; ReShare = Individual login
  • All with access to ReShare under institution NUC symbol will be able to see all requests that have been placed
  • Training will be modules based : written guides and videos – Borrowing, Requesting (see below for link)

End of Rota

  • Question: If it reaches end of rota – will we then have to check why and reach out for reserve? A:Shelley to check in. Once end of rota – select networks again and it will skip those that have said no previously.
  • Can use notes and chat to talk with lender/requester

  • Logins to be released from May 5 2025
  • Trove Partners Search = institution log-in
  • From May 12 Individual logins to those names submitted by 30 April – if haven’t submitted do so with Trove Partner Support
  • Training will be released today, May 5th, on the Trove Partners Learning Hub: Module based with short videos and written guides. Access to Trove Partner Learning Hub can be requested via Trove Support
  • Update: All training modules have been uploaded to Wiki here
  • Rollout starts the 12th May, NSW not until the 21st of May. Making requests available for NSW from 21 May
  • Logins should be sent for Resource Sharing Search platform and Reshare on this date. Recommended to use May for completing requests in LADD.
  • Back-up information: Can run reports in LADD for outstanding items – work queue – received and returned list – Go to LADD manual
  • Push to use email: Yes there will be at least initially a move to email. It is a huge change and we don’t know what bugs are actually going to happen. We can only support each other as best we can

Learning Hub

Q:Can I share the Partner Learning Hub login? A: Yes you can - TCS package may limit the number of learning hub logins e.g. Traditional package limited to 1-5 users.

Q: Delays or trouble applying for Learning Hub? A: Used to be quick but influx lately has added to turnaround time. If haven't heard back then let Anne/Shelley know. Current content from Learning Hub also uploaded to Wiki to assist in the meantime.

Q: Updated Network list? A: Haven't heard recent updates. Last known list available on Wiki

8. ILL Van

  • New options for SLNSW Van run - Genevieve and Cameron meeting on Wed to discuss what I going to happen going forward
  • While not on a yearly contract with Aust Post still confirming what options available outside of current situation. No further updates as yet - Cameron was also going to talk to NSW Managers meeting at end of May.

11. Suggested topics for discussion

Clarification of new arrangements (NLIVL): No charges unis/special libraries if reciprocal? ILRS loan restrictions.
A: Yes if a Uni/special library is listed in reciprocal network there are no charges. They may, however, be in both the reciprocal and pay for peer tiers so worth sending a note or chat request to specify what you are willing to pay.
System will not link to specific policy – can just say no and why

Other request methods Waverley: Requests available via Webcat, logins supplied upon request-a more streamlined. Q: Is Noosa Library using email requests? A: I don't believe so. Noosa reached out to some Libraries recently asking for access to their local accounts to reserve direct instead on email.
Georges River: Email quickest way for them to get items as may get waylaid on pick-list if under external Library name.
Central Coast: Has been able to set up reciprocal requests with Bond University.

New Service level Fees and Charges for FY2025/26

These fees will start from 1 July 2025 and are available here Please note that these are recommended fees only.

Going forward Invoices from ReShare will be received monthly instead of Bi-monthly.

  • Monday 1st December 2025, 2-5pm (Hybrid meeting; both in person at the NSW State Library and online)

Note: Onsite will be at Michael Crouch Room at the Mitchell Library wing in place of the Macquarie Room
