Marketing & Programs meeting – Monday, 16th November 2020 – minutes

1pm: Zoom live tour of the new Digital Library at Newcastle West including the AR Magic Box, interactive storywall, digital exhibitions, Pepper the robot library assistant, digital bookshelf, podcast studio. (Video will be uploaded, along with presentation slides to Google drive folder for group)

Q: Did you create app prior/post covid? A: Prior – but more of an uptake during covid

Q: Which capacity counter do you use? A: Cohera

Q: Are you using puppets, musical instruments in kids programs etc? A: Yes, prepared 24hours in advance and then quarantined after use then cleaned

Q: Are you finding members are embracing new normal programs or are they reluctant to come back? A: Slow reengagement to actively get patrons to change their habits

Q: Are staff refraining from singing in programs? A: No, and neither are children

Q: How do people book in? A: All programs are listed on the Libraries website, Eventbrite and Facebook so that bookings can be consolidated via the Eventbrite website. We are investing an internal booking systems via the Council Civic Services department, but still using Eventbrite for the moment.

Q: How are you going to actively promote return to programs? A: We have engaged the Council Marketing team to collaborate with us to design a re-engagement plan, this will include paid advertising, Facebook / socials paid advertising, radio chats, and some local magazine advertisements with targeted ads depending on readership – all hanging off the Summer Reading Campaign messaging.

Q: If you have no-shows, do you let walk-ins in? A: Bookings are required and it is part of re-training customers, they are encouraged to book on the spot. If they don’t have a booking, they are not allowed in.

Q: Who ran the staff education for filming and editing for online programs? Was it for all staff or just select staff etc (Alison)? A: We had two separate sessions, one for central library staff, mostly specialists and the ones who did created content during the lockdown. Our Wentworth Point Community Centre and Library has run a lot live streaming and other programs with more equipment. So we used their staff skills to uplift our staff skills. I ran a session for branches, with experienced gained from staff at central library and provided council media guidance and tech tips. The branch session was open to all branch staff. Due to our structure, we’re not open to all at the moment. But staff training is certainly on our agenda.

Q: Do you have any special software for recording podcasts? (Gayatri) A: No, just audacity at the moment because it is free and intuitive and quick to learn. RodeCaster has its own software though for the touchpad.

Q: For public use, is it anything goes, or do you monitor? (Tanya) A: Because we are not the ‘broadcaster’ we don’t monitor as such. Users take their recordings with them and we don’t keep anything here. It’s only been open a couple of weeks so we are still learning and evaluating so we’ll see.
