Young People in Libraries Steering Committee Teleconference 2 March 2016 Minutes

  • Attendees: Deb Best (Sutherland), Sharon Smith (Riverina Regional Library), Hiba Kanj (Parramatta), Kate O’Grady (SLNSW), John Fahy (Kogarah), Gabbi Wyllie (Ryde), Jo Potter (Kurring-gai), Katey Allwell (Tamworth), Mary Williams (Kempsey), Kristy Moody (Moree)

1. Welcome: YPinLNSW Library Manager representative Deb Best (Sutherland)

  • welcomed the group and new members
  • importance of a steering committee representing children and youth services
  • reiterated the support role played by both Deb and Kate for advice and SLNSW resources and contacts

2. Structure and communication of the YPinNSWL Steering Committee A discussion on the necessity of structure, responsible people, sharing the workload, date structure for the year for both committee meetings and programming. Everyone agreed the programs we create are opportunities to share, upskill and create networks. A suggestion for the hosting library to take on the role of organiser was declined as the SLNSW is the preferred venue.

All agreed to creating roles of chairperson and secretary to change with each steering committee meeting with Mary Williams (Kempsey) volunteering for the role of secretary for the next meeting. Discussion on what communication methods to use – ie teleconference

EMAIL received after meeting 2/3. Kate O’Grady spoke to her Manager about teleconferences and as suspected they are expensive (approx. $500 per session) so we cannot facilitate more regular teleconferences. For the video-conferencing service Bluejeans, the annual subscription covers as many sessions as we want to run. You can use it without a camera if you don't have access to one and it will function like a teleconference. I will send further information and set up test times in the coming weeks.

  • ACTION: Secretary Mary Williams (Kempsey) to email the steering committee and call for a chairperson for the next meeting (6 April 2pm) and coordinate with Kate O’Grady (SLNSW) the means (eg Blue Jeans), instructions and troubleshooting with a trial before meeting
  • ACTION: Kate organised for all committee members to have editorial access to the wiki http://youngpeopleinnswlibraries.pbworks.com/w/page/34693385/FrontPage to write and edit pages/information It is pretty easy to use, the edit button is on each page and you can create a new page from the right

hand side of the screen.

3. What do we want from the year

  • Using the survey responses a discussion ensued on what the group hopes to achieve this year and the structure of each event.
  • All agreed that the existing themes – childhood, tweens and youth – should be kept and multiple topics discussed specific to the selected age range eg literacy and technology.
  • All agreed on a wide range of topics. All agreed on 2 events for the year.
  • The structure of events agreed on a morning of speakers and training and an afternoon for showcasing library programs and networking.
  • Discussion coordinating events around the availability of speakers
  • Discussion on pre-bookweek extravaganza (PBWE), CBCA notables and shortlist announcements.
  • Agreed that planning for PBWE is so well structured and established that planning can be coordinated via email. ), John Fahy (Kogarah) and Mary Williams (Kempsey) offered their assistance.
  • All agreed that Tweens should be a priority this year.
  • Action : a venue and organisers for PBWE to be allocated at next meeting
  • Action : Jo Potter to make a preliminary callout for volunteers for PBWE
  • Action : Tweens program to be discussed at steering committee meeting
